User roles


Users may have one or more roles within Exeant. Not all roles are available to all users - for example the 'Employer' roles are not available to EVCs and others working at establishment level.

Users are granted the sum total of the permissions for all the roles that they possess.

These are the roles available, and what they allow the user to do:

Employer

A user with the Employer role is able to see and edit all information from all establishments on the site. If employer approval is required for a visit, notification that approval is required will be sent to all users with this role, and any users with this role are able to grant employer approval. In a Local Authority context, there would normally only be the Outdoor Education Advisor, or similar, with this role.

Employer (read only access)

This role allows a user read only access to all information across all establishments on the site. They cannot change any data, but have access suitable for anyone with a monitoring role.

Head

The Head role would normally be given to the head teacher or manager of an establishment. The Head is able to see and edit data for all visits from that establishment. All users with this role are notified when Head approval is required for a visit, and anyone with this role is able to grant that approval. Users with the Head role are also allowed to enter their own visits on the system.

Establishment (read only access)

This role allows a user read only access to all information for visits at their establishment. They cannot change any data, but have access suitable for anyone with a monitoring role.

EVC

This role is for the Educational Visits Coordinator. They are at the center of all Exeant activity at their establishment and receive notifications of new and changed user accounts, notifications of visits awaiting initial and final approval and are able to grant initial and EVC approval for visits. They are also able to enter their own visits into the system.

Establishment staff and/or visit leader

This role is appropriate for anyone who will be organising or leading an off site visit. The role allows them to enter their own visits, request approvals and to view any other visits they have previously entered into the system.
